How Vulca Assistant handles your data
1 · Who we are
Vulca Assistant is operated by Vulca (the European association of professional makers, registered in France). When this policy says "we", "us", or "Vulca", we mean the association.
2 · What data we collect
- Account data: email address, name, country, optional profile fields, optional avatar photo. Stored in our Supabase database.
- Event registration data: which Vulca events you register for, your application answers, and your wishlisted sessions.
- Membership status: whether you hold an active VULCA membership (synced from our Dolibarr accounting system).
3 · Google Calendar integration
If you connect your Google Calendar via your profile settings:
- We request the
calendar.eventsscope. This lets us create, update, and delete events that Vulca itself creates on your primary Google Calendar. We do not read your existing calendar entries. - We store a refresh token from Google to push event changes to your calendar even when you're not actively using Vulca Assistant. The token is held in our database and is never exposed to other users or visible to you in the app's UI.
- We push to your calendar only when something you did in Vulca warrants it: you registered for an event, or you wishlisted a session, or an event you're registered for changed date / location. We do not push events you have not opted into.
- You can disconnect at any time from your profile settings. Disconnecting revokes the token at Google and removes our copy from our database. Existing entries Vulca created on your calendar are kept — Google still has them; you can delete them manually if you wish.
4 · How we use your data
To run the platform: show you events you might want to attend, process your registrations, route session proposals to organisers, and (if you opt in) sync events to your Google Calendar. We do not sell or rent your data to anyone.
5 · Data retention
Your account data stays as long as your account exists. Event history (registrations, applications) stays for as long as the corresponding event organiser needs it for legal / reporting reasons (typically 5 years for EU funding-related events).
6 · Your rights (GDPR)
You can request access to, correction of, or deletion of your data at any time by emailing tech-support@program-vulca.eu. You have the right to lodge a complaint with the French CNIL (data protection authority).
